ELVIDA – Your smart overview for personal management

What is ELVIDA?

ELVIDA is a Swiss app that helps you organize your taxes, insurances, and contracts all in one place. Your data stays in Switzerland and is stored securely.

The concept: Instead of collecting documents in different folders, you upload them once – ELVIDA automatically organizes them and keeps track of important deadlines. You get a clear overview of all relevant areas of your life.

Many features – such as reminders, events, full-text search, and the insurance overview – are part of ELVIDA Assist and can be tested for free for 30 days.

Getting Started: Your Onboarding

After registering (email, password, optional passkey), you will be guided through the start with three simple steps:

1. Fill out your profile

Enter your name and address – this makes everything consistent and personal.

2. Choose three favorites

Select at least three areas of life that are particularly relevant to you – for example, insurances, taxes, or contracts. These areas will then appear prominently.

3. Upload three documents

Upload your first PDFs. ELVIDA automatically organizes them and starts analyzing – even the first documents make the app immediately usable.

These three steps ensure that you quickly have a real overview.

Upload Documents

The upload is accessible anywhere in the dashboard via the large + Upload Document button (top right) or through the FAB at the bottom right.

You can:

  • Select files: By clicking the button or via drag & drop
  • Scan with your phone: Capture documents directly with your phone camera
  • Upload multiple files: Up to 20 PDFs at once
  • Format: PDF up to 10 MB per file

After the upload, the following happens automatically:

  • Encryption – Your data is stored securely.
  • Compression – Larger files are reduced in size to save storage.
  • Categorization – The AI recognizes the content and assigns the document to a life area.
  • Metadata – Deadlines, dates, and additional information are extracted (ELVIDA Assist).

When the upload is complete, you will briefly see a success message – after that, you can open the document directly in the respective area.

Set Favorites

Favorites are areas of life that you use often. Here’s how to set them up:

  • Open the folder tab.
  • Select a life area – for example, insurances or taxes.
  • Click the heart icon to mark the area as a favorite.

Three favorites are enough to start. Favorites appear in the overview and at the top of the folders – making them easier to find.

Search – Find instead of Browse

In the search tab, you have a kind of spotlight for your documents (ELVIDA Assist):

  • Full-text search: Search terms scan the content of your PDFs.
  • Filter: Narrow down by life area, year, and tags.
  • Views: Switch between list view and tile view (grid).
  • Live results: The search responds directly as you type.

This way, you can quickly find contracts, deadlines, or insurances without manually flipping through documents.

Folders – Your Life Areas

In the folder tab, you see your documents grouped by life areas.

Life areas include:

  • Taxes
  • Insurances
  • Contracts
  • Retirement
  • Housing
  • Work
  • Health
  • Mobility
  • Education
  • Finances
  • Family & Relationships
  • Identity & Documents

You can:

  • Select an area – all documents from that area will be displayed.
  • Filter by document type – for example, only tax returns or contracts.
  • Switch between list and tile view – depending on whether you want to work compactly or clearly.
  • Combine filtering by life area and document type – to quickly find exactly the right documents.

Additionally, there is Recently Opened – your recently opened documents for quick access.

View Document

When you click on a document, the Document Viewer opens:

  • Preview – The PDF file is displayed directly.
  • Document type – e.g., tax return, contract, policy.
  • Life area – which area the document belongs to.
  • Details – metadata, tags, upload date.
  • Reminders – related reminders (ELVIDA Assist).
  • Events – time-related information (ELVIDA Assist).
  • Analysis – if an AI analysis is available.

This way, you can see directly what document type and life area it concerns.

Insurance Overview

Under Folders → Insurances, you will find the insurance overview (ELVIDA Assist). There you can see:

  • All recorded insurances – policies, premiums, and status.
  • Premium per month – your monthly insurance costs.
  • Coverage score – an orientation of how well your coverage fits your situation.
  • Gap analysis – hints on which areas might still be missing.
  • Record new insurance – manually or via PDF upload, the AI extracts the most important data.

Note: The score serves as a guideline and does not replace advice.

Assist – Reminders & Events

The Assist tab shows what the AI has recognized from your documents (ELVIDA Assist):

Reminders

  • Deadlines and dates (cancellation deadlines, expiration dates).
  • Status: open, completed, rejected.
  • Sorted by date.
  • With a link to the associated document.

Events

  • Time-related information (guarantees, contracts, subscriptions).
  • Grouped by time period.
  • With date navigation.

This way, you keep track of deadlines and events without having to open each document again.

List and Tile View, Filtering

Many areas support two views and filters:

  • List view – compact list, ideal for quick browsing.
  • Tile view – large tiles with previews, clearer overview.
  • Filter by life area – only documents from a specific area.
  • Filter by document type – e.g., tax return, contract, policy, notice.
  • Combination – filter by life area and document type together.

Switching between list and tile view is possible via an icon in the view.

Overview of the Process

  1. Registration → Confirm email (optional passkey)
  2. Onboarding → Profile, 3 favorites, 3 documents
  3. Dashboard → Overview, folders, search, assist
  4. Upload → Upload PDF, let it be automatically categorized
  5. Favorites → Mark frequently used areas
  6. Folders → Browse documents by life areas
  7. Filtering → Narrow down by life area and document type
  8. List or tile view → Use according to preference
  9. Search → Find specifically with full-text search (ELVIDA Assist)
  10. Assist → Use reminders and events (ELVIDA Assist)
  11. Insurances → Record policies, check coverage (ELVIDA Assist)
  12. Open document → See document type and life area in the viewer
